How to run a quarterly store walk program.

Eight steps from a paragraph to a quarter's worth of walked stores: the cadence, the checklist, a store list with numbers and regions, proof the walk happened, coverage by region, and what to do with what you find. Written for the person who owns two hundred locations and one spreadsheet.

  1. Step 01

Write the program down before you build anything

One paragraph, agreed with whoever owns the regions: every store is walked once a quarter by the district manager, on one checklist, with a photo on anything rated Fair or Poor, and every Poor item becomes a work order the same day. Name the quarter's window (the first six weeks, say) so “on time” has a meaning. Most programs fail here, not in the software: nobody said what done looks like.

  2. Step 02

Decide the checklist, then leave it alone for a year

Start from the Commercial property template — exterior and signage, parking, entrance, restrooms, corridors, rooftop units, panels, sprinklers, extinguishers, exit signage, accessibility — and add the handful of items your brand cares about: the window graphics, the fitting rooms, the back-of-house door. Copy it, name it what your program calls it, and stop editing. A checklist that changes every quarter cannot show a trend.

  3. Step 03

Build the store list with numbers, regions and a cadence

One spreadsheet: store number, name, address, region (district, market, division — whatever you roll up by) and a “walk every” column set to 3 for quarterly. Import it on Properties → Import CSV. The store number becomes the site code that leads the name everywhere — “#482 · Edison” on every list, PDF and export — and rows are de-duplicated by that code, so running the file again next year is safe. Addresses are geocoded after the import so each store has a pin; open a handful and confirm the pins landed where the buildings are.

  4. Step 04

Give each district manager their district

Add the district managers to the workspace and, on the Multi-site plan, limit each one to their own regions from Settings → Team. A limited manager's Properties, Coverage and Inspections pages are their district — nothing else to filter — and a store with no region is invisible to them until someone assigns it, which is the right failure: a mis-filed store is the admin's problem, not a leak. Owners and admins always see everything.

  5. Step 05

Walk the store from the store

The manager opens the store, picks the program's template and taps Start on site. The phone is asked for its position once, at that tap, and the report records how far from the store's pin the walk began — On site, Near site or Off site with the distance — on the PDF cover. A refusal, a desktop or a slow fix starts the walk with no position, and the report says that too. Each photo carries its own stamp. This is the answer to “was anyone actually there” without a check-in app.

  6. Step 06

Turn every Poor item into work the same day

A Fair or Poor rating opens a note, a photo and a Create work order button on the item itself. Tap it and the work order exists with the store number, the photo and a trade already filled in; dispatch it to the vendor, who opens it from a link. The completed walk's PDF carries the action-items table sorted by priority — that table is the store manager's to-do list, and the regional's evidence at the next review.

  7. Step 07

Read coverage by region, not a spreadsheet

The Coverage page grades every store against its own cadence — current, due soon, overdue, in progress — rolls it up by region with a covered ratio, and lists each store that needs a walk with its last walk, its manager and a Walk now link. Export one region as CSV for the person who owns it. On Multi-site, each region's managers get a Monday digest of the same numbers, so the quarter is not a surprise in week twelve.

  8. Step 08

Close the quarter with the trend, then repeat

At quarter end, every store has a report with the same items in the same order as last quarter's; a store's page shows its history. Read the repeats: the same restroom rated Poor three quarters running is a capital item, not a work order. Adjust the program paragraph if you must, not the checklist, and start the next quarter from the same store list.

Questions

Running it at scale

How many stores can a workspace hold?

Each plan states a unit ceiling on the pricing page, and a store with no units counts as one. Chains beyond the largest plan's ceiling are quoted a flat plan for the estate; the pricing page has the current numbers.

Can a district manager see only their own stores?

Yes, on the Multi-site plan: an owner or admin limits a member to one or more regions from Settings → Team, and every list, count and export that member sees is pre-scoped to those regions. Owners and admins are never limited.

Does the app know the manager was at the store?

It records where the walk started. When Start is tapped, the phone's position is compared with the store's pin — within about 300 m, allowing for the phone's stated accuracy, reads On site. Photos carry their own stamps. It is proof of where the walk began, not continuous tracking; nothing is captured in the background.

Will the app say “store” instead of “property”?

Not today. Store numbers and regions work in every pack and the code leads the name wherever a site is listed, but the nav says properties and buildings; there is no retail vocabulary pack yet.

Is there a store walk checklist I can print?

Yes — the store walk checklist page has the Commercial property template item by item and a PDF, and the same template is what a manager opens on the phone.
