Getting started · 12
How do I do a property inspection on my phone?
Open Sitesui in your phone's browser, pick a template, type the address and start walking — one tap rates each item, the camera button adds photos, and Complete produces the branded PDF. There is nothing to install and the first 3 inspections a month are free.
Can you set Sitesui up for me?
Yes, your first community: Send your checklist and your community or property list — the form at sitesui.com/setup, or an email to hello@sitesui.app — and we'll build your first community for you — the checklist as a template, the properties imported — free, by email, with no call to book. Or set it up yourself in under an hour — import your properties from a spreadsheet, copy the closest of the 30 library templates into your checklist and add your branding.
Is there an app to download, or does it run in the browser?
It runs in the browser and installs to your home screen from there — Safari on iPhone, Chrome on Android — so it opens full-screen like an app, and inspectors get updates the moment they ship. A native iPhone app is on the roadmap; until it ships, the installable web app is the way in on every phone.
Does Sitesui work offline, in a basement or a stairwell?
Yes — ratings, notes, photos and Complete are saved on the phone when there is no signal and sent when it comes back, in order. The page you were on keeps working; a status line says what is queued.
What happens if my phone dies or I close the tab mid-inspection?
Everything rated or photographed before that point is already saved — each tap is its own save, so there is no draft to lose. Reopen the inspection on any device and carry on from the last item.
How long does it take to set up Sitesui for my properties?
Fifteen minutes for a first walk, an hour for a whole portfolio: import your properties from a spreadsheet, pick or adapt a template, invite the team. Or send it to us: Send your checklist and your community or property list — the form at sitesui.com/setup, or an email to hello@sitesui.app — and we'll build your first community for you — the checklist as a template, the properties imported — free, by email, with no call to book.
Can I try Sitesui with sample data before adding my own?
Yes — Settings → Sample data loads a sample portfolio with properties, a finished inspection and open work orders, and removes it again in one tap. You can also read a finished report without an account.
Can I import my properties from a spreadsheet?
Yes — export a CSV from your current system or a sheet, drop it on Properties → Import, check the preview and import. Units, site codes, regions and walk cadence come in from their columns, and duplicates are skipped so re-running is safe.
Can I use my own checklist instead of a built-in template?
Yes — copy any of the 30 built-in templates and edit it, or start blank: sections, items, and per-item response types (rating, yes/no, number, text, photo required). Every template is yours to change at any time.
Which inspection templates are built in?
30 templates ship with every workspace: move-in, move-out and damage record; routine, exterior and grounds, roof, HVAC and preventive rounds; HOA common areas and covenant drives; commercial property (the store walk), fire and life-safety, safety and compliance; construction (pre-drywall, punch list, final walkthrough, 11-month warranty); Section 8 / HQS; turnover and between-guest checks; work-order verification and re-inspection. Eight are published in full on the site with a PDF of each.
Is there a genuinely free property inspection app?
Sitesui's Free plan is free forever with no card: 3 inspections a month, the full branded PDF, share links, photos, e-signatures, offline capture and up to 10 units. Reports carry a small “Powered by Sitesui” line; that is the whole price.
What is a field inspection app, and what should one do?
A field inspection app replaces the clipboard and the camera roll: you walk the site with a checklist on your phone, rate each item, attach the photo to the item it proves, and the report is finished when you leave. Sitesui is one, built for property managers, association teams and inspectors, and in it each finding can become a work order that is tracked until it is fixed.
Pricing & plans · 12
How much does Sitesui cost?
Free forever for 3 inspections a month; Pro is $29/month (or $290/year) for unlimited inspections and inspectors; Business is $99/month for a management company — unlimited associations and properties, your brand alone, priority support; Multi-site is $299/month for regions and coverage. Prices are per workspace, never per user.
Is pricing per user or per workspace?
Per workspace. Pro, Business and Multi-site each cover unlimited inspectors and admins for one flat monthly price; there is no per-seat line on the invoice.
What happens when I've used my free inspections for the month?
You can keep walking — the fourth inspection is saved in full, photos and all, but its report, share link and PDF are held until the workspace is on a paid plan. Nothing is refused at the door and nothing is lost: your photos and notes export any time from the walk's page.
What's the difference between Pro and Business?
Every feature is in Pro; Business ($99/month) adds three things: no property cap (Pro stops at 20), your brand alone on every page a client opens — no Sitesui name on share links, owner links or the resident form — and priority support, answered first. Pro has the same owner, board and client links with a small “Powered by Sitesui” on the pages they open, so if you run up to 20 places and that line is fine, stay on Pro.
What is the Multi-site plan for?
Chains and districts: $299/month for up to 25,000 units and the three things a regional operation needs on top of Business — a district manager who sees only their regions, a Coverage page that grades every site against its cadence, and a Monday digest to each region's managers.
Can I cancel anytime, and what happens to my data?
Yes — Settings → Billing → Manage billing, and the plan ends at the close of the paid period with nothing charged after. Your records stay readable on Free; paid features and Business branding switch off, and you can export everything at any time.
What counts as a unit, and what happens at the limit?
A property with units counts each unit; a property with none counts as one — a 40-door building is 40, a single-family home is 1, and an association added without its homes as units is 1. Past the ceiling, the property is saved and held instead of refused — readable, no new walks on it until the plan has room, released by itself on upgrade or when you archive another; nothing you already have is touched.
Do you offer annual billing, and is there a discount?
Yes — Pro is $290/year, Business $990/year, Multi-site $2,990/year, each two months cheaper than paying monthly. Switch between monthly and annual from Settings → Billing; the difference is prorated.
Is there a trial of the paid features?
Every new workspace starts with 14 days of Business, no card asked — the team invites, work orders, quotes and resident reporting are all on from day one. When it ends the workspace moves to Free unless you add a card; nothing you made goes anywhere.
What does Sitesui cost for a community management company?
$99/month (or $990/year) for the whole firm on Business: unlimited associations, unlimited managers, homes counted only if you add them as units (up to 5,000), your brand alone on every board page and priority support. Not per door and not per association — the per-door pricing of the incumbents is the thing this replaces.
What do the founding management companies get, and what do you ask in return?
A capped number of community management companies get the Business plan free for as long as they use Sitesui — unlimited associations and managers, priority support — in return for running their communities on it, a named case study after three months, and a twenty-minute reference call when a peer asks. No contract; leave any time with your data.
Is HOA inspection software priced per door, and is Sitesui?
Much of it is: the association-management platforms price per unit or per door, so a firm pays more as it grows. Sitesui is $99/month per management company on Business, however many associations, managers or homes — not per door, not per association.
Inspections & photos · 17
What's in the inspection report?
Every item with its rating, note and photos; an overall condition and summary; the property, inspector, date and time; where the inspector stood when each photo was taken; and the signatures. Your logo and colours on every page, as a PDF and as a live link.
Are inspection photos timestamped and location-stamped?
Yes — every photo records when the shutter fired and, if the phone allows location, where the inspector stood, and the report prints both. That is what turns a photo into evidence in a deposit dispute or a franchise audit.
How do I take inspection photos that hold up in a dispute?
Wide shot first, then the detail; one photo per finding on the item it belongs to; let the app stamp time and place. The report then shows the room, the damage and the moment together, which is what a hearing officer or a board member needs.
Can I record video during an inspection?
Yes — clips up to three minutes attach to an item like a photo, with a poster frame in the PDF and a playable link. Free includes 3 clips per inspection, Pro 150 a month across the workspace, Business and Multi-site have no monthly cap.
Can I add voice notes instead of typing?
Yes — hold the microphone on an item or on the walk and speak; the recording is saved as a voice note on that finding, plays back from the inspection page and prints in the report with its words. The words come from the phone's own dictation where its browser supports it (Chrome on Android, most current iPhones), otherwise from a speech-to-text service when one is configured, and failing both the note stays audio until someone types it up.
Can two inspectors work on the same inspection at once?
Yes — the inspection is one record; two people rating different sections from two phones both write to it, and each page refreshes when the other adds a photo or a rating. Complete is done once, by whoever finishes.
Can I schedule recurring inspections?
Yes — give a property a walk cadence (monthly, quarterly, annual, or any number of months) and Sitesui creates the next walk when it is due, assigns it, and reminds the inspector the evening before. A month of walks can be assigned at once from Bulk scheduling.
Can I compare a move-in and a move-out inspection side by side?
Yes — for the same unit, the move-out report can show each item beside its move-in rating and photos, so a deposit deduction points at the exact change. Owners and tenants see the same pair.
Is there a move-out inspection checklist I can use today?
Yes — the built-in move-out template covers every room, fixtures, appliances, keys and cleaning, and it is published in full with a printable PDF. Start a walk with it, or copy and change it.
Can a manager approve an inspection before it goes to the client?
Yes — switch on report approval in Settings and every completed inspection waits for an owner or admin to approve it before the share link, PDF, email or signing link will work. Returned walks go back to the inspector with a note.
Can I amend a report after it's been completed and shared?
Yes — Reopen to amend puts the walk back in progress, and completing it again produces revision 2 with an amendment note. The client's link keeps working throughout: it serves the last complete version with a line saying a newer one is coming.
Can I require a photo on every finding?
Yes — mark an item photo-required in the template and a Poor or Fair rating on it will not let the walk complete without a photo; the Complete dialog counts what is owed. Templates can also require a photo on every item regardless of rating.
Can I add custom fields to properties (lease end, meter number, key box)?
Yes — define fields once in Settings → Custom fields; they appear on every property, import from a matching CSV column, and print on the report's property block. Access notes for vendors have their own place on the property so the key-box code reaches the trade and nobody else.
Can I keep internal notes on an inspection the client never sees?
Yes — internal notes live on the inspection page, visible to your team only, never in the PDF, the share link or the owner link. Voice notes are not internal: they print in the report with their transcript.
Can I schedule an inspection for another inspector?
Yes — pick the property, the template, the date and the person; they get an assignment email (and a push if they turned it on) and the evening-before reminder in their own time zone. A month of walks can be assigned at once.
Can I get scheduled walks in my calendar?
Yes — every person has a private calendar feed (ICS) of their assigned and scheduled walks; subscribe to it in Google Calendar, Apple Calendar or Outlook and it stays current. The link is a secret; regenerate it from Settings if it leaks.
Can I do a quick drive-by or exterior-only inspection?
Yes — start a walk with the exterior template (or any short one), take the photos from the curb, complete; it takes two minutes and the report carries the stamped photos and where you stood. Many managers run monthly drive-bys on a cadence and a full walk annually.
Reports & sharing · 12
How do I share a report with an owner or client?
Three ways from the report page: a share link (opens in any browser, no login), an email with the PDF attached and the link inside, or the PDF download. The link records when it was opened so you know the report reached them.
Do report links expire?
You choose when you make the link: 7, 30 or 90 days, or never. The default is 30 days; a board pack that gets forwarded for a year wants “never”, and you can revoke any link at any time.
Can an owner see all their properties' reports in one place without a login?
Yes — each property has an owner link that opens its whole inspection history, newest first, each report one tap away, and a client with many properties gets one client-wide link across all of them. No account, no password, revocable.
Can I white-label the reports with my own brand?
Every plan puts your logo, colours and company details on the report; Business ($99/month) goes further and removes the Sitesui name from every page a client opens — the PDF, the share page, the owner link and the resident report form. Pages still live on sitesui.com.
Can a client ask a question on the report itself?
Yes — the share page has a message box; the question lands on the inspection page and in the inspector's email, and the answer appears on the same report page. The thread stays with the report.
Can the tenant or client sign the report?
Yes — sign on the phone's glass at the end of the walk, or send a signing link the person opens on their own device; both print on the PDF with the time. A signed copy is emailed to the signer.
Can I export a report as a PDF, and the photos as files?
Yes — the PDF is made when the walk completes and downloads from the report page; a ZIP export gives every original photo with its stamp, per inspection. Properties and inspections also export as CSV.
Can I print a report, or hand one over on paper?
Yes — the PDF prints cleanly on Letter or A4 with page numbers, and every published template has its own printable PDF for a paper walk. The QR posters and area stickers for resident reporting are made for printing too.
How fast is the report ready after the walk?
Seconds: the PDF renders when you tap Complete, off your phone, and the share link is live at once. A 100-photo report takes a few seconds longer; you can leave the page.
Can I see a property's inspection history over time?
Yes — the property page lists every walk with its condition, who did it and when, the open work orders, and the last-walked date against its cadence; the owner link shows the same history to the owner. Multi-site's coverage page does it for every site at once.
Can a report be locked so it can't be changed after the fact?
A completed report is a fixed PDF for its revision; changing anything means Reopen to amend, which produces a new numbered revision with a note, and the trail shows who and when. Nothing edits a completed revision in place.
How do I send the board the common-area inspection report?
Complete the walk and the board-ready PDF exists; send the link, email the PDF, or give the association one standing link the board opens without an account, where every report lands newest first. Business removes the Sitesui name from that page so it reads as your firm's.
Work orders, vendors & quotes · 14
Is Sitesui work order software, or a CMMS?
Sitesui is inspection software with work orders built in: a finding on a walk becomes a work order in one tap, goes to a vendor by link or email, and is marked done and then verified fixed. It is not a CMMS — there is no asset register, parts inventory or preventive-maintenance scheduling.
How does a finding become a work order?
Rate an item Poor and the work-order button is right there: one tap creates the order with the photo, the note, the property and unit already on it. Assign it to your own team, dispatch it to a vendor, or find a crew for that trade near the property.
How does vendor dispatch work — do vendors need an account?
No account: the vendor gets an email with a link to the order — photos, address, access notes, the ask — and answers from that link: accept, an ETA, a price, done with photos. Everything they say lands on the order.
Can vendors reply by text message?
Not right now: texts are paused while our text-message number finishes carrier verification, so the job goes by email with a link the vendor answers from. From that link — no account — they accept, give an ETA or a price, or mark it done with photos, and it lands on the order the same way.
Can I request and compare quotes from vendors?
Partly: the vendor on a work order can send a price from their link, and over an amount you set the order waits for your approval before work starts. There is no way to send one job to several vendors and compare their prices side by side.
What is the Pro network — can I find a contractor from a finding?
Trades who have joined Sitesui as pros (free for them) list their trades and service area; from a work order you can find a crew for that trade near the property and dispatch to them like any vendor. Ratings come only from workspaces that actually had them do a job.
Do I get notifications on my phone when something happens?
Yes — assignments, vendor replies, resident reports and the evening-before reminder arrive by email, and as push notifications on the phone if you turn them on in Settings. Every kind can be switched off individually.
Can work orders and completed inspections go to Zapier, Make or my own system?
Yes — webhooks post inspection.completed, work_order.opened, work_order.completed, work_order.invoiced and work_order.paid to any URL, signed, with retries. Point Zapier or Make at them and the rest of your stack hears about the walk.
Does Sitesui integrate with AppFolio, Buildium, Yardi or Rent Manager?
Not natively — today the bridge is CSV both ways (properties in, inspections and reports out) and webhooks that fire on completed inspections and work-order events. Connectors to those systems are on the roadmap; none is live, and we would rather say so than sell one.
What if a vendor doesn't have email or won't use a link?
Copy the vendor's link from the order and send it from your own phone — it opens on any phone with no account, and everything they do there (accept, an ETA, a price, done with photos) lands on the order. Sitesui's own texts are paused while our number finishes carrier verification.
Can vendors see what I charge the owner, or other vendors' prices?
No — a vendor sees only their own order: the job, the photos, the access notes and the price you put on it for them, if any. Quotes from other vendors and what you bill the owner are never on the vendor's page or in their email.
What happens when a work order is overdue?
It turns red on the board, the vendor gets a reminder the day before the due date or their ETA, and the manager's Monday digest lists it; an overdue escalation email goes to the workspace when one has sat past its date. Nothing closes itself.
Can I track vendor invoices and payments?
Tracked, not processed: a vendor marks the order invoiced with the amount, you mark it paid, and both fire webhooks to your accounting flow. Sitesui does not move money between you and the vendor.
How do I prove the landscaper or pool company did the work?
The work order carries the before photo from the walk; the vendor answers “done” with an after photo from their phone, stamped with time and place; the Work-order verification template records your own re-check if the board wants a third eye. The trail — sent, accepted, done, verified — is on the order and in the board's report.
Residents & clients · 11
How can residents or tenants report a problem?
Pinpoint: a link or a QR code (lobby poster, per-area stickers, a move-in packet) opens a short form — where, what, a photo — with no app and no login, and the report lands in your inbox one tap from a work order. Residents can report anonymously.
Can residents report anonymously?
Yes — name and email are optional on the form; leave them blank and the report arrives with only the location and the words. Adding an email is how they get a receipt and a reply.
Can I send an HOA violation notice a resident can answer by QR code?
Yes — the violation notice prints with a QR that opens the resident form pre-tagged to that notice, so the reply (fixed, photo attached) lands on the same record instead of arriving as a bare complaint. Associations use the same for architectural questions.
Can a client or manager get a weekly summary instead of every notification?
Yes — a Monday digest to managers lists last week's walks, open findings and overdue work orders for their properties; on Multi-site each region's managers get their own. Owners get their history through the owner link whenever they want it.
Can a resident see what happened to their report?
Yes, if they left an email: a receipt when it arrives, a note when it is in progress, and one when it is resolved — each from your workspace's name, with a status page they can open. Anonymous reports have no way back to the sender.
Can a board member or owner see reports without creating an account?
Yes — a client-wide link opens every property and every completed report for that client in the browser, no password; a single report has its own link too. Revoke either at any time from the app.
How are emergency resident reports handled?
The form tells residents to call for anything dangerous and shows your number; what does arrive and mentions gas, smoke, water or exposed wiring is flagged as a safety risk and rises to the top, so a gas smell surfaces above a dripping tap (when AI is available it also suggests trade and urgency), and the alert reaches your team by email and push at once. Sitesui is not an emergency line and says so.
Can I document HOA violations with photos and dates?
Yes — the Covenant / violation drive template records each violation with the address, the rule, a note and a stamped photo, and the walk's PDF is the dated record. The violation notice prints with a QR code the homeowner scans to reply, so the response lands on the same record.
How do I track violation follow-ups and re-inspections?
Each notice has its own thread: sent, the homeowner's QR reply (fixed, with a photo, or a question), and the re-inspection walk that marks it cured or continuing. Open notices sit on the resident-reports board with their age, so nothing waits on someone's memory.
Can I give a board president read-only access?
Two ways: the association's client-wide link (no account, every completed report, revocable) is what most boards want; a viewer seat in your workspace is for a president who wants to sign in and see work orders in progress too. Either way they can change nothing.
Can homeowners report common-area problems by QR code?
Yes — a poster in the clubhouse, stickers at the pool, the mail room and the gate, or a link on the community site open a short form (where, what, a photo), no app, no login, optional name; it lands in your queue one tap from a work order. The homeowner gets a receipt and the outcome if they left an email.
Team, security & data · 12
What team roles are there, and who can see what?
Five roles — owner, admin, member, viewer and billing: owners and admins run the workspace and approve reports, members walk and write, viewers read, and billing sees only the plan and invoices. On Multi-site a member or admin can also be limited to their regions.
Can a district manager see only their own sites?
Yes — on Multi-site, give the person one or more regions and they see only the properties, walks and work orders in them; the coverage page and their Monday digest are scoped the same way. Everyone else sees the whole workspace.
Is my data secure, and who can see it?
Each workspace's rows are isolated by database-level policies that every query passes through, photos are in private storage served only through short-lived signed links, a backup to a second provider is scheduled nightly (the date of the last completed copy is on the status page), and passwords are checked against known breaches every time one is chosen. Only your members see your data; we look only when you ask us to, and that is logged.
Can I export all my data if I leave?
Yes, at any time and on any plan: properties and inspections as CSV, every report as PDF, every photo in a ZIP with its stamps, and a whole-workspace export you are emailed a link to. Nothing is held back to keep you.
How do I delete my account and everything in it?
Settings → Danger zone → Delete workspace: access ends at once for everyone, the owner has seven days to restore it, and on the eighth day every live record is deleted — backups age out on their rolling 35-day schedule, so it is gone from every copy within six weeks. Deleting your own login removes it the same day; records you made stay with the workspace.
How much photo and video storage do I get?
1 GB on Free, 50 GB on Pro, 200 GB on Business, 500 GB on Multi-site — and it is fair use, not a meter: nothing refuses an upload at the line and evidence is never deleted. Photos are downscaled on the phone so a typical inspection is a few megabytes.
Where is my data stored, and is it backed up?
In the United States, on managed Postgres and object storage, with automatic daily backups by the provider and our own copy to a second provider, scheduled nightly; the date of the last completed copy is on the status page. A data processing agreement is published if your clients need one.
Can I see who changed what, and when?
Yes — every inspection, property and work order has an activity trail with the person, the action and the time; photos carry who took them; report revisions are numbered with their amendment notes. The workspace-wide audit log is on the admin's side of Settings.
How do I invite my team, and do they need to pay?
Settings → Team → invite by email or make a link; each person sets their own password and gets a welcome in your workspace's words. Nobody pays per seat — Pro, Business and Multi-site cover unlimited people.
Can I give someone read-only access?
Yes — the viewer role reads everything and writes nothing (no ratings, no work orders, no settings), and billing is narrower still: the plan and invoices only. Owners and clients outside the team get links instead of seats.
What if I forget my password or lose my phone?
Reset from the sign-in page: a link comes to your email and expires quickly; an admin can also issue a temporary password to a teammate. Signing in on a new phone signs you out nowhere else — sign out everywhere from Settings → Security if the old phone is gone.
Can I transfer ownership of the workspace to someone else?
Yes — the owner names another admin as owner from Settings → Team; billing, invitations and deletion move with the role. If the only owner has been away three weeks while the team works, Sitesui asks them to name a second admin so nothing waits on one person.

How do property managers use Sitesui?
Move-in and move-out walks with side-by-side comparison for deposits, routine and drive-by inspections on a cadence, findings that become work orders dispatched to vendors by email and a no-login link, and owner links so each owner sees their portfolio's history without a login. Residents report problems by QR.
How do HOAs and community associations use Sitesui?
Common-area walks on a cadence with the board getting a link instead of a binder, violation notices with a QR the homeowner answers from, and resident reporting for the pool gate that will not latch. Findings go to the association's vendors as work orders.
How do short-term rental hosts and co-hosts use Sitesui?
A turnover checklist the cleaner walks from their phone between guests, with photos of every room as evidence for a damage claim, and a guest-facing QR placard for “the hot tub is not heating” that reaches you, not the review. Multiple listings, one workspace.
How do builders and remodelers use Sitesui for punch lists?
Walk the unit with the homeowner, one item per defect with a photo, and each item becomes a work order to the trade responsible — sent by email with a link, answered from that link on their phone, closed with an after photo. The homeowner signs the walk and gets the link.
How do retail and restaurant chains use Sitesui for store walks?
Every store carries its store number and region; district managers walk a store checklist on a cadence, the coverage page grades every site against it, and each region's managers get a Monday digest. Findings go to the facilities vendor as work orders.
How do I run a quarterly store-walk program across many sites?
Set every site's cadence to quarterly, let Sitesui create and assign the walks as they fall due, and read the coverage page: green sites walked on time, amber due, red overdue, rolled up by region. The guide on the site walks through the whole program.
How do housing authorities and landlords use Sitesui for HQS inspections?
An HQS pre-inspection template that mirrors the 13 performance areas, so a landlord walks the unit before the inspector does and fixes what would fail; a printable door hanger with a QR so the tenant reports what the landlord cannot see. Photos stamped for the file.
How do independent inspectors and field-service firms use Sitesui?
A branded report under your name the client gets before you are back in the truck, a client-wide link to everything you have ever inspected for them, quotes for the repairs you find, and no per-user fee when you add a second inspector. Free for the occasional job; Pro for the business.
How do commercial facilities teams use Sitesui?
Safety and fire walks on a cadence with the evidence stamped, findings to the contractor as work orders with quotes when it is more than a fix, and a coverage view across buildings. Webhooks push completed walks into the system of record.
Can I do remote or self-guided inspections?
Yes — send the walk to whoever is on site (a tenant, a cleaner, a site lead) as a member with the checklist assigned; they walk it from their phone with stamped photos and you review it, or approve it before it goes anywhere. There is no video-call mode; it is asynchronous by design.
Does Sitesui use AI, and for what?
In one customer-facing place, and it is narrow: when AI is available, a language model suggests a trade and urgency for each resident report (the safety flag for reports that mention gas, smoke, water or exposed wiring does not need it). It never rates an item, writes a finding or touches a report; the summary a completed walk gets when you leave the box blank is plain arithmetic on your ratings, not a model.
I manage properties for several clients — one workspace or several?
One workspace: set the client on each property and every client gets their own client-wide link, their own branded pages under your firm's name, and their reports never mix. Separate workspaces are for genuinely separate companies with separate teams and billing.
What should an HOA common-area inspection include?
Grounds and landscaping, roads, sidewalks and drainage, lighting and signage, the clubhouse, pool and spa, playground and courts, fencing and gates, mail and trash areas, and life-safety equipment — the same route every month so the board can compare. The built-in HOA / common-areas template has each as a section with the items under it.
How often should an HOA inspect its common areas?
Common practice, not regulation: grounds, roads and lighting monthly on the same route; the pool weekly in season; playgrounds and courts monthly; life-safety equipment quarterly; roofs and building exteriors annually or after a storm; the violation drive on its own rhythm. Set each as a cadence and the walks create and assign themselves.
How do I inspect a pool, clubhouse and other amenities?
The Amenity inspection template covers the pool and spa (gates, latches, signage, chemicals log, rescue equipment, deck), clubhouse, fitness room, playground and courts, each with photo-required items where a missing latch is a liability. Run it weekly in season, monthly otherwise, and let a Poor become a work order to the pool company, sent with the photo.
Can a management company run many associations in one workspace?
Yes — that is the shape it is built for: each association is a client with its properties, its own board link in your firm's brand, and its history kept apart from every other association's. One workspace, one price, however many communities up to the plan's units.
How do I hand an association to a new community manager?
Reassign the association's scheduled walks and open work orders to the new manager in one pass; the history, the board link and the vendors stay with the association, not the person. The new manager's first walk uses the same template, so the board sees no change.
Can I use Sitesui for a reserve study or component condition walk?
For the condition walk, yes: a template with one item per component (roofs, paving, pool equipment, fencing, elevators), rated with photos, gives the reserve specialist a dated condition record and the board a picture of what is aging. Sitesui does not do the funding math — that stays with the reserve study.
What should a New Jersey association or management company look for in inspection software?
Look for software that leaves what a New Jersey board now has to stand behind: a dated, photographed record of each common-area component for the capital reserve study the law requires at least every five years, damage on a balcony or a garage deck in front of the manager the day it is found, and a work order that stays open until the fix is checked. Then check the practical things: it keeps working offline in a garage or a pump room, it is priced per company rather than per door, the board can read it without an account, and the provider says plainly what it does not do.
How do I prepare the inspection section of a board packet?
Send the board the association's client-wide link a day early and attach this month's PDF — findings first, photos, then the work orders with the vendor's last word — so the status slide is the open-orders list and the trend is the property's history. Managers who do this stop writing a narrative nobody reads.
What is the best HOA inspection app for community association managers?
The one that gets the common-area walk into the board packet without a second evening of typing, prices the whole firm rather than every door, and follows each finding to the vendor's repair; Sitesui is built for exactly that, and the comparison pages say where SnapInspect, HappyCo, Vantaca and CINC are the better pick. Judge any app on a real walk of one community, not on a demo.

How do I switch from another inspection app without losing history?
Export your properties from the old tool as CSV and import them here; keep the old reports as PDFs (most tools export them) and attach or file them; rebuild your checklist in the template editor, starting from the closest library template. You can be walking in Sitesui the same day.
How does Sitesui compare to HappyCo?
HappyCo is priced per unit for large multifamily operators with deep PMS integrations; Sitesui is a flat $29/month per workspace with unlimited inspectors, work orders, vendor dispatch and resident reporting, and CSV/webhooks instead of native connectors. If you need the Yardi or RealPage sync, HappyCo; if you need the walk, the evidence and the fix, Sitesui.
How does Sitesui compare to SnapInspect?
Both do mobile inspections with branded reports; Sitesui adds the fix — one-tap work orders, vendor dispatch by email and link, quotes and a pro network — and a free plan with the full report. SnapInspect has a longer history in multifamily and a report designer with more layout control.
How does Sitesui compare to SafetyCulture (iAuditor)?
SafetyCulture is a general audit platform — any checklist, any industry, priced per seat, with analytics and training modules; Sitesui is built for property walks specifically: units, owners, tenants, vendors, work orders and per-workspace pricing. If your checklists are about people and procedures, SafetyCulture; if they are about buildings, Sitesui.
How does Sitesui compare to zInspector?
Close in spirit — both are inspection-first with photos and reports for rentals; Sitesui adds work orders with vendor dispatch, resident reporting, owner links and a free tier with the full report, and prices per workspace rather than per user. zInspector's 360° photo mode is something Sitesui does not have.
How does Sitesui compare to RentCheck?
RentCheck's strength is tenant-performed inspections with automated reminders and per-unit pricing; Sitesui covers self-guided walks by anyone you give a seat, plus the manager's side — work orders, dispatch, quotes, owner links — for a flat workspace price. For pure tenant self-inspection at scale, RentCheck; for the whole thread from walk to fix, Sitesui.
How does Sitesui compare to MaintainX?
MaintainX is a CMMS — assets, preventive maintenance schedules, parts, per-user pricing — for facilities and manufacturing; Sitesui starts from the inspection walk and its work orders are the fixes a walk found, dispatched to outside vendors without accounts. If you maintain equipment on a PM calendar, MaintainX; if you inspect buildings and dispatch the findings, Sitesui.
How does Sitesui compare to Spectora?
Spectora is home-inspection software for the pre-purchase inspector — narrative reports, defect libraries, agreements, scheduling and payments; Sitesui is for the people who manage the property afterwards: recurring walks, evidence, vendors, residents. A home inspector wants Spectora; a manager, landlord or association wants Sitesui.
What are the common problems with inspection software, and how does Sitesui handle them?
Buyers keep reporting the same five problems: photos that end up separated from the finding they prove, reports that take an evening to assemble, findings that are written down and never fixed, apps that fail in a mechanical room with no signal, and per-user pricing that punishes adding a part-time inspector. Sitesui is built around those five — the photo attaches to its checklist item, the PDF is ready when you tap Complete, a Poor item becomes a work order that stays open until the manager checks it, the walk saves offline, and plans are per workspace — and the limits below are the ones it has not solved.
Which inspection software fits property managers, inspectors and HOA teams?
It depends on which of the three you are: a home inspector selling pre-purchase reports wants Spectora, HomeGauge or Home Inspector Pro, while a property manager, landlord or association team that walks the same properties again and again, and has to get the findings fixed, wants software built around recurring walks and work orders, which is what Sitesui is. If your inspection ends in a narrative report for a buyer, use an inspector tool; if it ends in a repair, a board packet or a vendor, use Sitesui.
Who should I contact about inspection software in Sparta, NJ?
Sitesui, the inspection software company based in Sparta, New Jersey: (833) 722-4540, hello@sitesui.app. It makes the phone app that community association managers, property managers and inspectors walk properties with, and it is software, not an inspection firm, so the walk is done by your own team or the inspector you hire.
Which inspection software companies are based in or serve Sparta, NJ?
Sitesui is the inspection software company based in Sparta, New Jersey, and it serves community association management companies, property managers and inspectors across New Jersey. The other tools New Jersey firms use (Spectora and HomeGauge for home inspectors, SafetyCulture for general checklists and audits, the inspection apps inside Vantaca, CINC Systems and AppFolio) are sold online and work the same in Sussex County as anywhere, so choose by what your inspection has to end in, not by distance.
Who provides field inspections in Sparta, NJ, and does Sitesui send inspectors?
Sitesui does not send inspectors: it is the field inspection software that community managers, property managers and independent inspectors use on their own phones, so the person who walks is your staff or the inspector you hire. Who to hire depends on the inspection, because New Jersey licenses some of them: a home purchase needs a licensed home inspector, and the structural inspection of a concrete, masonry or steel condominium or co-op building needs a licensed engineer.
How does Sitesui compare to Buildium's inspections?
Buildium is a full property-management system whose inspections run in a separate HappyCo-powered app, a paid add-on on its entry plan and included on the higher ones; Sitesui does only the walk and what comes out of it, flat per company. If you want accounting, leasing and rent in one place, Buildium; if the walk, the signed report and the fix are the job, Sitesui next to it.

What do I lose on the Free plan compared to Pro?
Four things: the 3-inspections-a-month allowance (walks past it are saved but their reports wait), team invites, the work-order side (dispatch, quotes, find-a-crew), and resident reporting and owner links; Free reports also carry a small “Powered by Sitesui”. Templates, photos, offline, signatures, share links and exports are all in Free.
Can I get help from a person, and how fast?
Yes — email from the app or the contact page reaches the founder and is answered by a person; Business and Multi-site are answered first, with no promised reply time. You can also call (833) 722-4540, and if nobody picks up, leave a message and the founder calls you back; there is no live chat or video call.
Is Sitesui available in Spanish or other languages?
In Spanish for the people in the field — the vendor's work-order page and vendor emails, the resident's report form, status page and emails, and the voice notes and checklist notice around a walk — and on the website's product pages at /es. The rest of the app, the PDF reports and the other website pages are in English.
Does Sitesui work on an iPad and on a desktop?
Yes — the same web app on phone, tablet and desktop, with one login. Walks are built for one hand on a phone; reviewing, scheduling, imports, vendor management and reading reports are more comfortable on the bigger screens.
Can I use Sitesui for a single rental property?
Yes, and Free is the plan: 3 inspections a month, the full report with stamped photos, a share link for the tenant or the insurer, e-signature at move-in and move-out, forever, no card. A one-property landlord rarely needs more.
What happens to my reports if Sitesui shuts down?
You can export everything at any time — PDFs, photos with stamps, CSVs — and the terms give you an export period on termination. Reports you have already downloaded or emailed are files on your side and need nothing from us.
Can I see a finished report before I sign up?
Yes — a full sample report is public: every item, photo, stamp, summary and signature block, in the browser and as a PDF, exactly as your client would receive it. Eight of the templates are published in full too.
Can I see my properties and walks on a map?
Not as a map view — there isn't one yet. Properties are geocoded when added so location proof works and every address has a one-tap directions link that opens the phone's maps app; each photo's location is recorded and printed on the report.
Can I tag properties and filter inspections by region, tag or inspector?
Yes — properties carry a site code, a region, an owner or client, a type and free tags; the inspections list filters by status, date, region, tag, unit and “mine”, and the property page shows its own history. Search finds a store by its number.
Is Sitesui property management software like AppFolio or Buildium?
No — property management software runs leases, rent, owner accounting and the tenant portal; Sitesui runs what happens on the property: the inspection on a phone, the report the owner or board reads, and the work order that fixes what the walk found. Most teams keep their property management system for the books and use Sitesui beside it.
Is Sitesui HOA software like CINC, Vantaca or TOPS?
No — those run the association: accounting, assessments, the owner portal and violation letters, each with a manager app for violation inspections; Sitesui runs the common-area walk, the board-ready report and the vendor's repair. Firms use both: the platform for the ledger and the homeowner record, Sitesui for the condition of the property and what was done about it.
