When…

We're switching inspection tools mid-year

An operations lead with three years of reports in another product, a renewal date, and a team that hates change more than it hates the old tool.

What goes wrong

  • History gets left behind and the first dispute after the switch has no “before”.
  • The checklist gets rebuilt from memory and loses the items the lawyer added.
  • Two tools run in parallel for six months and nobody knows which is true.

What to do now

  1. 1

Export properties from the old tool as CSV; import here — units, site codes and cadence come with it.

  2. 2

Export the old reports as PDFs and keep them; the first walk here starts the new history with the same template.

  3. 3

Rebuild the checklist in the template editor from the document you actually use — start from the closest library template and Copy and customize, so the items the lawyer added come across.

  4. 4

Run one cycle side by side on Free if you must, then turn the old one off on a date.

What they end up holding

The team gets the same checklist on a phone that works offline; the lawyer gets the items she added; the old reports stay as files.
