What should an HOA violation letter say?

A violation letter should name the owner and the lot, quote the rule from the governing documents, say what was seen and when with a photo, say what curing it looks like and by what date, and explain how to respond or ask for a hearing. What the letter must contain, and how it must be delivered, is set by your governing documents and your state's HOA law, so have the association's attorney approve the template once.

How it works

  • The date, the owner's name, the property address and a notice number the association can find it by.
  • The rule, quoted in the words of the governing documents, with the section it comes from.
  • What was observed, the date it was observed, and a dated photo taken from public property.
  • What curing it looks like and the date to cure by.
  • What happens next under the governing documents if it is not cured, such as a second notice, a hearing or a fine.
  • How to reply, ask a question or request a hearing, and who to contact.

What it doesn't do

  • Sitesui does not write, sign or mail the letter, and it is not legal advice on what your state requires.
  • It keeps the record behind the letter: the rule, the stage (first, second, final notice or hearing), the cure-by date, the dated photos and the history, plus a QR on the letter that the homeowner scans to reply to that notice.
