HOA violation inspection checklist

The same rule, applied the same way, with a dated photo. Enforcement holds up when it is consistent: the same drive, the same rules, the same kind of photo, every time. This is the built-in violation-drive template — a lot-by-lot pass through the community recording the rule, the condition and the evidence — so a notice rests on a record and a hearing rests on the record, not on memory.

12 items in 5 areas · the built-in “Covenant / violation drive” template, as it ships

How to run it

Three passes, in walking order

1

Drive the same route

Same order each time so nothing is skipped and nobody is singled out. Rate each lot against the rules the board enforces.

2

Photograph from the street

Dated, from public property, the address in frame where you can. Note the rule the condition relates to, in the words of the governing documents.

3

Notice, reply, follow-up

In the app the finding becomes a notice; the homeowner answers by QR; the next drive checks whether it is cured.

In the app an item can also answer as pass/fail, done/not done or a number, and any Fair or Poor item becomes a work order in one tap. The PDF prints the checklist as shown, with a notes line per item and a signature block.

Want a reminder to run it again?

The download needs no address. If you'd like one email on the day it's due again, leave it here; that's the only email unless you tick the box.

When not to use it

  • — Common-area condition — use the HOA common-areas template.
  • — Anything requiring entry onto the lot — that is a different process with notice.

What goes wrong

  • — Photographing from the lot instead of the street.
  • — Writing the finding in your own words instead of the covenant's.

What this is not

Documentation and workflow. It is not legal advice, not a notice service, not certified mail, and it does not decide what the governing documents or state law allow.

The finished report

Complete the walk and the PDF exists

Every item with its rating, notes and photos; an action-items table by priority; signatures captured on the phone or through a link. No export step. See a finished one before you sign up.

Built for community managers

HOA / community manager

Common-area walks, amenity checks, violation drives, and reports the board actually reads.

Questions

Violation drive: what people ask

Does a photo make a violation stick?

A dated photo with the rule it relates to is evidence. Whether it supports a fine or a hearing depends on the governing documents, the notice process, the state's HOA law and the facts; the association's attorney advises on that, not the checklist.

Can homeowners see the photo?

Yes — the notice carries it, and they reply through the QR or the link. Consistent evidence lowers the temperature of the reply.

How often should we drive?

Whatever the board has adopted; the app's cadence keeps it regular, and regularity is part of what makes enforcement defensible.
