Approval and revisions

Approve inspection reports before they go out

Nothing goes out unreviewed. With approval on, every completed inspection waits for an owner or admin before its share link, PDF, email or signing link will work; a report that needs changing is reopened and issued as a new numbered revision.

How it works

  • Held until approved

The share link, PDF, email and signing link wait for an owner or admin.

  • Returned with a note

A walk that needs work goes back to the inspector with a note.

  • Amend without overwriting

Reopen to amend issues revision 2 with an amendment note; the client's link keeps serving the last complete version.

Who uses it

What it does not do today

  • A completed revision is never edited in place; changing a report means reopening it, which issues a new revision with an amendment note.
  • Report approval is a setting you switch on in Settings; nothing is held until you do.

The limits are stated so the rest can be believed. When one changes, the changelog says so.

Questions people ask

  • Can a manager approve an inspection before it goes to the client?

Yes — switch on report approval in Settings and every completed inspection waits for an owner or admin to approve it before the share link, PDF, email or signing link will work. Returned walks go back to the inspector with a note.

  • Can a report be locked so it can't be changed after the fact?

A completed report is a fixed PDF for its revision; changing anything means Reopen to amend, which produces a new numbered revision with a note, and the trail shows who and when. Nothing edits a completed revision in place.

  • Can I amend a report after it's been completed and shared?

Yes — Reopen to amend puts the walk back in progress, and completing it again produces revision 2 with an amendment note. The client's link keeps working throughout: it serves the last complete version with a line saying a newer one is coming.

  • Can I see who changed what, and when?

Yes — every inspection, property and work order has an activity trail with the person, the action and the time; photos carry who took them; report revisions are numbered with their amendment notes. The workspace-wide audit log is on the admin's side of Settings.
