Snow removal checklist

Before you approve the invoice, the photos of what was done. Snow contracts are usually paid by the push or by the storm, and the questions come later: were the sidewalks done, was salt put down, who hit the light pole. This is the built-in snow removal verification template — the storm, the crew's times, roads and parking, walks and entries, hydrants and damage — walked after each event, photographed with the time, so the invoice, the complaint and the damage claim all have the same record behind them.

How to run it

Three passes, in walking order

1

Note the storm

When it started and stopped and how much fell where you are; the contract's trigger depth usually depends on it.

2

Walk what the contract covers

Roads, parking and accessible spaces, sidewalks, steps, ramps and entrances, salt, mailboxes, hydrants. Photograph each, with the time.

3

Record the damage

Curbs, lawns, signs, lights. Each finding becomes a work order for the contractor, with the photo.

The checklist

Want a reminder to run it again?

The download needs no address. If you'd like one email on the day it's due again, leave it here; that's the only email unless you tick the box.

When not to use it

  • — Getting ready for winter — use the HOA winterization template in the fall.

What goes wrong

  • — Walking the next afternoon, after the sun has done the contractor's work.
  • — Photographing the road and not the steps, where people actually fall.

What this is not

Documentation of a contractor's work. It is not legal advice about liability for snow and ice, and it does not decide what the contract or local ordinances require.

Questions

Snow removal verification: what people ask

Does this replace the contractor's own log?

No. It is the association's check of their work. Comparing the two is how a disputed invoice gets settled.

Do we walk after every storm?

After every storm the contract pays for. A quick walk is enough when nothing is wrong; the photos are the record that it was fine.

Can residents report a missed walk?

Yes, by QR or link; their reports sit beside the walk's findings for the same storm.
