Move-in inspection checklist

The move-in checklist that decides the move-out. A move-in inspection records the unit's condition on the day the resident takes the keys. Every deposit conversation a year later comes back to this document: if it says the carpet was clean and the blinds were whole, that is the baseline. The checklist below is the one built into Sitesui, so the printed version and the phone version are the same walk.

16 items in 6 areas · the built-in “Move-in inspection” template, as it ships

How to run it

Three passes, in walking order

1

Walk it with the resident

Go room by room in the order printed. Rate each item and write what you see, not what you expect: “two nail holes above the sofa” beats “walls fair”.

2

Photograph anything that isn't new

A dated photo of the scuff, the chipped tile, the worn seal. On paper, note the photo number next to the item; in the app the photo attaches to the item itself.

3

Both sign, both keep a copy

The resident signs the completed checklist and gets a copy the same day. In Sitesui the signature is captured on the phone or through a link, and the PDF goes to their email.

In the app an item can also answer as pass/fail, done/not done or a number, and any Fair or Poor item becomes a work order in one tap. The PDF prints the checklist as shown, with a notes line per item and a signature block.

Questions

Move-in inspection: what people ask

Is a move-in checklist legally required?

It depends on the state and the lease. Several states require landlords to give residents a written condition statement at move-in and let them add to it; others don't, but the deposit statutes still expect you to prove the condition you're charging against. Check your state's landlord–tenant rules; the checklist itself is the same either way.

How is the move-in used at move-out?

As the baseline. Sitesui can start a move-out from a completed move-in and line the two up item by item, so “was the carpet already stained?” is answered by the record, not by memory.

Can I add items?

Yes. In the app the built-in template is a starting point: add the garage, the washer, the smart lock; reorder or remove. The PDF on this page prints the built-in version.
