HVAC inspection checklist template

Nine items a manager can check before calling the technician. You do not need to be a technician to notice a soaked filter, a condensate pan with water in it, a water heater weeping at the relief valve or an outdoor unit buried in leaves. This is the built-in HVAC and mechanical template: the visual checks that catch a failure early and give the technician a photo before the truck rolls.

9 items in 4 areas · the built-in “HVAC / mechanical” template, as it ships

How to run it

Three passes, in walking order

1

Air side

Filter condition and date, thermostat set and responding, supply and return unobstructed, unusual noise or smell.

2

Water side

Condensate drain and pan, water heater for leaks and the relief-valve discharge, visible corrosion, the shut-off valve you can find.

3

Outside

Condenser clear of debris and vegetation, fins undamaged, disconnect present, pad level.

In the app an item can also answer as pass/fail, done/not done or a number, and any Fair or Poor item becomes a work order in one tap. The PDF prints the checklist as shown, with a notes line per item and a signature block.

Want a reminder to run it again?

The download needs no address. If you'd like one email on the day it's due again, leave it here; that's the only email unless you tick the box.

When not to use it

  • — Anything requiring the panel opened, gas or refrigerant handled — call a licensed technician.
  • — A preventive-maintenance round across a whole building — use the PM round template.

What goes wrong

  • — Rating the water heater Good without looking at the relief-valve outlet.
  • — Not writing the filter size in the note.

What this is not

A visual walk. It is not a service visit, a combustion or refrigerant test, or an inspection any code or manufacturer warranty requires a licensed technician to perform.

The finished report

Questions

HVAC & mechanical: what people ask

Is this a maintenance visit?

No. It is the walk that decides whether to book one. Cleaning coils, checking refrigerant and testing combustion are the technician's job.

How often?

Filters monthly to quarterly depending on the filter and the building; the full walk each season change. The app's cadence keeps the reminder.

What should I photograph?

The data plate, the filter, anything wet, anything rusted. The photo goes on the work order and saves the technician a diagnostic visit.
