HOA inspection checklist for common areas

The monthly common-area walk the board can read. A common-area inspection is the association's own record of the spaces it maintains: landscaping, roads and sidewalks, lighting, the clubhouse, the pool, the playground, the mailboxes, roofs and stairwells. Done on the same items every month it produces a trend; done differently each time it produces an argument. This is the HOA / common areas template built into Sitesui.

How to run it

Three passes, in walking order

1

Drive the grounds first

Landscaping, roads and sidewalks, signage and lighting, fencing and gates. Photograph the heaved slab, not the whole street.

2

Walk the amenities

Clubhouse, pool and spa, playground and courts, mailboxes. For pool chemistry logs and self-latching gates the Amenity inspection template goes deeper.

3

Buildings, compliance, safety

Roofs and exteriors, stairwells and railings, visible covenant and parking violations, life-safety equipment, drainage. Findings become work orders for the vendor; the completed PDF goes in the board packet.

In the app an item can also answer as pass/fail, done/not done or a number, and any Fair or Poor item becomes a work order in one tap. The PDF prints the checklist as shown, with a notes line per item and a signature block.

Questions

HOA common areas: what people ask

How often should common areas be inspected?

Monthly is the usual cadence for a managed community, with in-season amenities like a pool walked more often. The right answer is whatever the management agreement and the board expect; the point is doing it the same way each time.

Can residents report issues between walks?

Yes. Pinpoint gives the community a link or a printed QR poster; a resident opens it, says where and what, adds a photo, and it lands in the same queue as the walk's findings.

Is this the same as a violation drive?

No. This walk covers the association's own property. The Covenant / violation drive template is the drive-through of homeowners' lots, with the photo evidence a hearing needs.
