Airbnb damage report template

What the guest left, photographed before the cleaner arrives. A damage claim on a booking platform is decided on evidence gathered in a narrow window: after the guest leaves and before the next one arrives, with photos that are dated and clearly of this property. This is the built-in check-out damage record — nine items, every one a photo — so a claim is a record, not a recollection.

9 items in 9 areas · the built-in “Damage record (check-out)” template, as it ships

How to run it

Three passes, in walking order

1

Walk it before anyone cleans

The cleaner's job destroys the evidence. Walk first, photograph everything, then release the turnover.

2

Photograph wide, then close

The room, then the damage, then the damage with something for scale. Timestamps and, with permission, location are on every photo.

3

Compare to the last turnover

The turnover check from before the stay is the baseline; the app lines the two up. What changed is the claim.

In the app an item can also answer as pass/fail, done/not done or a number, and any Fair or Poor item becomes a work order in one tap. The PDF prints the checklist as shown, with a notes line per item and a signature block.

When not to use it

  • — The routine between-guest reset — that is the turnover check template.
  • — A long-term tenant's move-out — use the move-out template for deposit rules.

What goes wrong

  • — Letting the cleaner in first.
  • — Close-ups only, with nothing to show which room or which property.

What this is not

Documentation. Whether a platform, a guest or a court accepts it is decided by their rules, not by this checklist; it is not legal advice.

The finished report

Complete the walk and the PDF exists

Every item with its rating, notes and photos; an action-items table by priority; signatures captured on the phone or through a link. No export step. See a finished one before you sign up.

Questions

Check-out damage record: what people ask

Will the platform accept these photos?

Platforms set their own evidence rules and deadlines and decide claims themselves. Dated photos taken before cleaning, with the previous turnover's photos beside them, are what those rules usually ask for; read the platform's current policy.

What if the guest disputes it?

The record is the record: the turnover before, the damage after, timestamps on both. That is what you send.

Do I need this for every check-out?

Run the turnover check every time; run this one when the turnover finds something. It takes a few minutes and it is the only time the evidence exists.
